How we handle the details you give us on this website. Short, because we collect very little.

Who we are

“We” are two companies under the same ownership. Sweet Villa Ltd (company number 15532567) owns the homes and runs this website. Dream Villa Ltd (company number 15794706) manages them and looks after tenancies day to day, and is the member of the Property Redress Scheme and the Tenancy Deposit Scheme. Both are registered in England and Wales with their registered office at 10 City North Place, London N4 3FS. Together we are the controllers of anything you share through this site.

What we collect, and why

The only way this site collects personal details is the enquiry form. It asks for:

• your name and email address, so we can reply;
• the room you are asking about, your rough move-in date and your employment status, so we can tell you quickly whether a room fits;
• whether you have the deposit and first month’s rent ready. Nothing is paid on this site; it only tells us you could move quickly;
• whether you would like to hear when other rooms come up.

We do not ask for a phone number, a date of birth, identity documents or anything sensitive. If you go on to rent with us we will need more — proof of identity, a Right to Rent share code, references — and we explain that separately at that stage, not through this website.

Simply browsing the site collects nothing about you that we keep. Our hosting provider records the technical details of each request, including the address it came from, in short-lived logs used to keep the site running and secure. If something on the page breaks, our error-monitoring service receives a technical report; on this site it is set not to record your session and not to keep your IP address.

Our legal basis

• Replying to your enquiry and arranging a viewing: taking steps at your request before entering into a tenancy.
• Emailing you when other rooms come up: our legitimate interest in letting our rooms to people who have asked about them. You can opt out on the form itself, and in any email we send you afterwards.
• Keeping the site secure and working: our legitimate interest in running it properly.

Who sees it

We never sell or rent your details. To run this site we rely on a small number of providers who process data on our instructions:

• Resend delivers the enquiry to our inbox and the confirmation to yours.
• Vercel hosts the site and keeps the short-lived request logs.
• Sentry receives error reports, on servers in the EU.

Some of these companies are based outside the United Kingdom. Where your details leave the UK, the transfer is covered by the UK’s international data transfer agreement or the UK addendum to the EU standard contractual clauses.

How long we keep it

Enquiries arrive as email and stay in our inbox for up to twelve months from our last contact with you, then they are deleted — unless the enquiry turns into a tenancy, in which case it becomes part of your tenancy file. Hosting logs are kept for a matter of days. Ask us to delete your enquiry sooner and we will.

Your rights

You can ask us to show you the details we hold about you, correct them, delete them, restrict or object to how we use them, or hand them to you in a portable format. Email welcome@sweetvilla.co and we will answer within one month.

If you think we have handled your data badly, you can complain to the ICO at ico.org.uk/make-a-complaint or on 0303 123 1113 — though we would welcome the chance to put it right first.

Cookies and similar technologies

This site sets no cookies. It uses no analytics, no advertising trackers and no social-media pixels, and it stores nothing in your browser. That is why there is no cookie banner: there is nothing to consent to. If that ever changes we will update this page and, where the law requires it, ask you first.

Children

Our rooms and this website are for adults. We do not knowingly collect details from anyone under 18.

Changes to this notice

When this notice changes we update the date at the top. Nothing here overrides your rights under the UK GDPR and the Data Protection Act 2018.
